Multifunctional Peripherals (MFPs)
Overview
Multifunctional Peripherals (MFPs) are distributed throughout MRI's three buildings. These MFPs—capable of copying, scanning and printing—report usage to a central accounting server running Equitrac Express. Whether for walk-up jobs or network print jobs, Equitrac Express controls access and provides accounting for all work performed on this MFPs. Through Equitrac, MRI is able to greatly reduce the workload needed to assign and manage Copy Codes and to perform the monthly billing. Moreover, by using Equitrac, all Copy Codes have access to all devices so that users who roam among the three buildings can use any device.
Description of MFPs
There are six Ricoh MFPs distributed across the MRI and MRL Buildings and RUA. Each device is capable of walk-up copying and scanning as well as network printing. Two of the devices are capable of full color printing and copying.

Copy and Print Charges
MRI charges $0.06/click for black & white and $0.40/click for color. A click is defined as a single side of one letter-size page (8 1/2"x11"). Duplex printing and copying is charged at 2 clicks per piece of paper. Ledger-size pages (11"x17") is charged at 2 clicks per piece of paper. There is no surcharge for stapling. There is no cost for scanning to e-mail or file.
Copy Codes
Copy Codes are numeric PINs unique to each user in the Equitrac software. Generally, these PINs are at least 4 digits long and are chosen by the user or group of users to which the code is assigned. PINs relate to a budget/fund/cost center in a one-to-many fashion meaning that each PIN is tied to a budget/fund/cost center, and each budget/fund/cost center can have more than one PIN (or user). With Equitrac Express, we can hold many more users, PINs, and budget/funds/cost centers than we were previously capable of, and it is our strong recommendation that all users have their own PIN or PINs if the user needs to charge to more than one budget/fund/cost center.

If you want to print to these MFPs from your Windows computer, we will also need to know the username that you use to log into your computer. Please see the section below on Windows printing for more information.
Device Use
Comprehensive instructions for using the MFPs, considering the plethora of options, is beyond the scope of this document; this document is intended to provide the fundamental instructions needed to operate the MFPs.
Walk-up Copying
At the MFP, enter your Copy Code and click Login to start your session. Once you are finished with the your session, select the Scanner function and click the Logout button. You will see a screen indicating that the job is completing and the number of copies made.
Network Printing
Printing to the MFPs has been tested to work under three scenarios: (a) from a Windows computer in the MRI Windows domain, (b) from a Windows computer on the MRI networks, but not in the MRI Windows domain, and (c) from a Mac OSX computer on the MRI networks. Please refer to the sections below corresponding to your operating system and scenario.
Wireless Printing
Printing to the MFPs is possible from the "MRI-wpa" network. The instructions below apply to both wired and wireless printing. We have tested printing from from Microsoft Windows, we are confident the Mac OS X will also work. If you encounter problems with Mac OS X, the Equitrack Client, and network printing please contact a member of the IT Staff.
From Windows
To print to the MFPs you must connect to the appropriate server and double click the desired MFP(s) to install the printer on your local computer. The MFPs for the MRI Building are served from papa1.mri.psu.edu while the MFPs for the MRL Building and RUA are served from papa2.mri.psu.edu. For each MFP, there are three drivers available for Windows printing, namely PCL, PostScript and RPCS. Select the driver most appropriate for your needs. For information on the different types of drivers, see the "External Links" section at the bottom of this page.
To install the MFPs on your local computer:
- Open My Computer and enter the following into the Address bar:
- MRI Building - \\papa1.mri.psu.edu\
- MRL Building and RUA - \\papa2.mri.psu.edu\
- Double click on the MFP that you want to install and use; the driver for the MFP will be installed on your local computer.
- If you are on a Windows PC and don't know which driver to pick, choose RPCS as it will provide you with the most features.
Do you need the Equitrac Client?
To determine what you need to print to the MFPs from Windows, please follow the decision tree below:
- Is your computer in the MRI Windows Domain? How do I know?

Printing from Windows, no client required
Assuming that you have a valid Copy Code and account in Equitrac (check with Diane, Amy or Jaime if unsure), you should only need to install the MFP as described above and print like you would to any other printer; Equitrac will use your MRI Windows Domain username to account for your printing.
Printing from Windows, client required
In order to print to the MFPs you will need to download and install the Equitrac Client on your computer. This client will provide a popup when you print into which you will enter your Copy Code. If your computer is NOT in the MRI Windows domain, you will also need to provide to Jaime the username you use to login to your computer. Prior to visiting Diane, Amy or Jaime, please read this page about determining your login name. You do not need to provide this information if your computer is in the MRI Windows domain.

This version of the Equitrac Client has been customized by MRI for use in the MRI environment. The installation is fairly straight forward: download and run the executable to install the client, clicking "Close" when the installation completes. A reboot of the Windows computer may be necessary to complete installation.
Once the printers and Equitrac Client are installed, print lie you would to any other printer. After submitting a print job to the MFPs, you will get a popup window on your computer. Enter your Copy Code into the ID field as shown in the image below.

From Mac OS X
To use the MFPs, you must first download and install the Equitrac Client and Printer Utility on your Mac. For installation instructions, please visit:
Next, you will need to install a PPD file for each of the MFP models you wish to use. Follow the appropriate link(s) below to download an installer disk image, then launch and use the installer to place the PPD files in the correct location.

Once the Client and Printer Utility are installed on your computer, along with the necessary PPD file(s), you will need to add the desired MFP(s) to your printer list. This must be done through Equitrac's Printer Utility. To do so, please see:
Adding an Equitrac Printer - Mac OS
After the desired printers are added, print to them as you would any other printer. When a print dialog box opens, select the Equitrac printer from the list, change any needed print settings, and click "Print."
In a few seconds, a dialog box like the one below will appear. Enter your copy code in the ID field and click "OK." No password is needed. Your file will be printed, and the appropriate budget and fund will be charged for the prints.

Network Printing Troubleshooting
- I printed to one of the MFPs, but when I went to retrieve the print job, there was nothing on the printer

- Yes - Make sure you correctly entered your copy code and/or check with Diane, Amy or Jaime to ensure that you have a valid Copy Code and account within Equitrac.

Scanning
The MFPs are capable of scanning documents and sending the scans to file on various file servers. If your computer is in the MRI Windows domain and you have access to the Q Drive, you should select the "MRI Q Drive" as the destination for your scans. If your computer is not in the MRI Windows domain, you should select the "Scans Website" as the destination. After scanning your file will be waiting for you in the appropriate location. For the Q Drive, the destination is currently Q:\Savin Scans (this will change once the old MFPs are retired from service). For the Scans Website, the destination is http://scans.mri.psu.edu and is available from any of our networks.
